How to do a batch upload.

A SACCO staff member with the appropriate user-role permissions can perform a batch upload by following these steps:

1. Log in to https://app.kwara.com.

2. Navigate to More (located below the Settings section).

3. Select Batch Transactions.

4. Click the green Upload button.

5. Download the Excel template.

6. Complete the template with the following required fields:
   • Member ID: Ensure it matches exactly as recorded in the system, including special characters, spaces, and letter case.
   • Loan/Savings Product ID: Select the correct ID from the Loans and Savings sheets in the template.
   • Loan/Savings Account ID: Optional. Required only if the member has multiple accounts under the same loan/savings product.
   • Transaction Type: Enter in lowercase and use only one of the following values: deposit, withdrawal, repayment, loan_fee, or savings_fee.
   • Amount: Enter the transaction amount.
   • Value Date: Use the format YYYY-MM-DD.
   • Payment Method: Select the corresponding key from the Payment Methods sheet.
   • GL Account: Enter the GL account code (for example, 500-000-101). The account must be linked to the selected payment method as documented in the Payment Methods sheet.
   • Charge ID: Required only when applying a fee to a loan or savings account. Select the appropriate ID from the Charges sheet.
   • Reference: Optional. If provided, each reference must be unique to avoid upload errors.
   • Notes: Optional. May be repeated across transactions.
   
   

7. Save the completed Excel template.

8. Return to Kwara Core > Batch Uploads and select the saved file.

9. Click Submit.

10. Open the generated Batch ID to review the uploaded transactions.

11. Approve the pending transactions.

12. Wait for processing to complete until the batch status shows Completed.
